Titan Business Manager (the "Service") is operated by Titan Software Ltd ("Titan", "we", "us"), a company registered in England & Wales. We provide quoting, invoicing, payments and business-management software for tradespeople and small businesses. This policy explains what data we handle when you use our app and website (together, the "Service"), and your rights over it. By using the Service you agree to this policy.
1. Who we are
The Service is operated by Titan Software Ltd, a company registered in England & Wales under company number 17343028, with its registered office at 16 Garth Sixteen, Killingworth, Newcastle Upon Tyne, NE12 6PU, United Kingdom. Titan Software Ltd is the data controller for your account information. For any privacy question or request you can reach us at info@titanbusinessmanager.com. This address is also our contact point for data-protection matters.
2. Information we collect
Information you provide
- Account details — your name, business name and email address when you create an account.
- Business data you enter — quotes, invoices, clients and their contact details, chargeable items, expenses, staff records, rotas, time logs and calendar entries.
- Branding — any business logo or brand colour you upload.
- Attachments — photos and files you attach to quotes.
- Email settings — if you choose to send from your own mailbox, the SMTP credentials you provide.
Information collected automatically
- Authentication data — a secure account identifier and sign-in metadata managed by Google Firebase Authentication.
- Usage & device data — basic technical information (such as app version and error diagnostics) needed to run and secure the Service.
- Quote view tracking — when a customer opens a quote email, we record that it was viewed so you can follow up.
Information from people you deal with
When one of your customers submits your public enquiry form or accepts a quote, we process the details they provide (such as name, contact details and their message) on your behalf, so that it appears in your account as a lead or an accepted quote.
3. How we use your information
- To provide, operate and secure the Service and your account.
- To create and send quotes, invoices and follow-up reminders on your instruction.
- To process card payments and deposits from your customers.
- To sync with third-party services you choose to connect (accounting and expense tools).
- To send you essential service messages (for example account verification, password resets and payment notifications).
- To detect, prevent and address fraud, abuse or technical problems.
We do not sell your personal information, and we do not use your business data or your customers' data for advertising.
4. Third-party services (data processors)
We rely on trusted providers to deliver the Service. Each processes data only as needed for its function:
- Google Firebase (Authentication, Firestore database, Cloud Storage, Hosting, Cloud Functions) — stores and secures your account and business data.
- Stripe — processes card payments. Card details are entered directly with Stripe; we never see or store full card numbers.
- Resend — delivers transactional and outbound email (quotes, invoices, reminders, verification).
- Accounting & expense integrations (such as QuickBooks, Xero, Expensify and Zoho Expense) — only when you choose to connect them, to sync invoices and expenses you ask us to send.
These providers may process data outside the UK; where they do, appropriate safeguards are in place.
5. How we store and protect your data
Your data is stored on Google Firebase infrastructure. We apply per-account isolation so each business can only access its own data, enforce secure authentication, encrypt data in transit (HTTPS/TLS), rate-limit and validate our public endpoints, and restrict administrative access. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
6. How long we keep it
We keep your account and business data for as long as your account is active. If you close your account or ask us to delete your data, we will delete it within a reasonable period, except where we must retain certain records to meet legal, tax or accounting obligations.
7. Your rights
Depending on your location, you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent. You can edit most of your data directly in the app, or contact us at info@titanbusinessmanager.com to make a request. You also have the right to complain to your local data-protection authority (in the UK, the Information Commissioner's Office).
8. Data controller vs processor
For your own account information, Titan Software Ltd is the data controller. For the customer and lead information you enter or collect through the Service, you are the controller and Titan Software Ltd acts as your processor, handling that data on your instructions.
9. Children
The Service is intended for business use by adults and is not directed at children under 16. We do not knowingly collect data from children.
10. Changes to this policy
We may update this policy from time to time. When we make material changes we will update the "Last updated" date above and, where appropriate, notify you within the Service.
